Even if you don’t have one yet, keep this in mind for the future, as it can be a game-changer for your lead management strategy.
Garbage In, Garbage Out—Let’s Fix That!
You’ve probably heard the phrase “garbage in, garbage out” before. In terms of your database, it means that if you’re not actively managing your incoming calls and leads, your system can get cluttered pretty quickly. Smart numbers can either be an amazing asset or a source of frustration, depending on how you handle them.
So today, I’m giving you my go-to tips for cleaning up your smart number activity, saving time, and getting high-quality leads from your database. Let’s make sure you’re getting the most out of your efforts!
Step 1: Create Filters to Identify Junk Calls
When you have a smart number, you’re bound to get a mix of good leads and not-so-great ones. To filter out the noise, I recommend setting up saved searches in kvCORE. One of the key filters I rely on is identifying contacts that don’t have an email address. Why? Because many of the junk calls or spam leads won’t have an email associated with them.
Here’s what you can do:
Go to your kvCORE dashboard.
Set up a filter for contacts without an email.
Save this search and pin it to the top for easy access.
By doing this, you’ll always have a quick way to review potential junk contacts before they clog up your system.
Step 2: Evaluate the Smart Number Leads
Once you have your filtered list, take a moment to review the leads. If the number doesn’t have an email but is from your local area code, it’s worth giving them a call to verify if they’re a real person or a potential lead. Here’s my rule of thumb:
Local area codes: Make that first call. Even if the lead seems iffy, you’d be surprised how often they turn out to be valuable.
Out-of-area codes: Be cautious. These are more likely to be wrong numbers, businesses, or spam calls.
If the number turns out to be junk, you can archive or delete it.
I personally go through this process once a month. It doesn’t take long, and it keeps my database clean and manageable.
Step 3: Don’t Skip This Essential Step
Register your smart number on the Do Not Call (DNC) list. This simple step will cut down on the amount of spam calls you receive, saving you time and effort. Since I registered my smart number, the number of spam calls has noticeably decreased.
Step 4: Make Sure Your Smart Number Is Visible
If you’re not already doing this, put your smart number on your signs! We did this, and the results have been incredible. In fact, one of the leads that came through our smart number recently turned into a $720,000 listing—just from answering a call! That’s a $20,000 commission from a quick conversation. 🎉
Step 5: Keep Up the Monthly Maintenance
Make it a habit to review your smart number leads at least once a month. When you catch potential issues early, you prevent them from becoming a headache later. Plus, you’ll ensure that the good leads don’t get buried under junk.
Success Story: The Power of a Clean Database
I’m sharing this tip because it works. We recently had a lead call in from one of our signs, and thanks to our clean database, my inside salesperson was able to jump on it right away. That call led to a listing appointment, and eventually, a major deal. This wouldn’t have been possible if our database was a mess.
